INITIAL START-UP & SITE ASSESSMENT

Initial Meeting with Project Owners and Team

Kick-off Meeting with key internal stakeholders.

Survey of entire site to assess requirements.

DEVELOPING NORMS & STANDARDS

Develop Norms and Standards required in the various spaces

Conduct a time and motion study in order to establish standardised productivity and coverage norms

required in the various spaces.

Taking into consideration each area’s special requirements, in order to appropriately assign the re-

quired number of staff, supervisors and equipment / consumables that are necessary to maintain the

area at the appropriate level in the most cost effective manner.

TRAINING

Training Programmes (Cleaning, Garden; Hygiene; Facilities):

Develop Training Manuals and Provide training to all Facilities Staff

Results-orientated programmes for all staff that is centred on the best practices and operational excel-

lence, with a healthy balance between high and low frequency activities.

Optimising insourced services - Provide Training to Managers, Supervisors and Team Leaders

Provide practical training based on visuals with regards to use of equipment, chemicals and tools.

Practical Training - Infield training untill end of contract period

Conduct practical training infield with all on-site staff to compliment and inbed the theory training until

the end of the contract period.

STAFF MANAGEMENT

Standardise all operational duties, advise on staffing requirements to maintain the needed solution,

technology for time and attendance, assignment of duties & required supervision to ensure value for

money service.

Operational staff required to be included in each proposed structure i.e. all staff that would have direct

day-to-day involvement in the serviceable function (Including reliever and specialised services

component).

QUALITY AUDITS

Quality and Safety Officers

Compile Internal SLA’s, KPI’s, Standardised Methodology, Management Reporting Tools.

Develop Quality Standards for sites that will be aligned to policy and procedures for Insourced Services.

TECHNICAL ADVISORY & OPTIMISED OUTSOURCED SERVICES

Analysis of Management support and training needs, script and roll-out and onsite implementation

Perform need analysis of site in order to design a result orientated manual for (Asset Management and

Maintanance, Electronic Management System, Storage Facilities Management, Equipment, Chemicals,

Tools and Consumable) with implementation tools and reporting for insourced staff.

COST & TIME CALCULATION

Analysis of building / space inventory, financial Analysis, Benchmarking

Design Calculation Model

Implementation of a model for time and cost control

Technology & Software Tools

Increase transparency and predictability of current and future costs. Provide calculation tools.

Calculate project specific data and benchmark against market / industry averages.

BILLS OF QUANTITIES

Advise Management and Procurement of effective resource utilisation, capital equipment and chemical

procurement strategies.

Determining the Bill of Quantities for cost effective purchasing Consumables, Brushware, Chemicals

and Equipment.

Advise standard procedures for an effective and efficient inventory management system; of material

including chemicals (mixing / dilution of chemicals) consumables, tools and brushware.

Compile a reference manual in determining sites (current & future) bill of quantities for supply of

Consumables, Brushware, Chemicals and Equipment.

The use of formulas and industry norms and standards in this manual as this will be used for current

and future purchasing.
